How It Works

From first call to full coverage

A practical rollout with humans watching every step. Most teams are answering live calls through CONVERSYNC within two to three weeks of kickoff.

Onboarding

Four steps, no rip-and-replace

We work with the phone numbers, CRM, and scripts you already have.

Discovery

Week 1. We listen to recorded calls, map your call types and escalation rules, and agree on what success looks like in numbers.

Build

Week 1–2. We write the playbooks, train the AI on your knowledge base, connect your systems, and configure routing.

Pilot

Week 2–3. A slice of live volume runs through CONVERSYNC with human QA on every interaction and daily tuning.

Scale

Ongoing. Coverage expands to full volume, with a named account manager and a weekly performance review.

Routing

How we decide who takes the call

Every conversation enters the same workflow. The routing rules are yours — we'll recommend a starting point and tune it from real calls.

  • AI answers first on standard enquiries, at any hour, with no hold time.
  • Escalation triggers fire on sentiment, deal value, repeat contact, keywords, or a direct request for a person.
  • Warm transfer hands a human specialist the live caller plus the transcript and account history.
  • Your team gets it when the rule says so — specific accounts, named reps, or anything outside our scope.
Routing logic Example
TriggerCaller says "I want to cancel"
ActionRetention specialist, live transfer within 10 seconds
TriggerNew lead, form submitted at 11:40pm
ActionAI call within 60 seconds, qualify, book for morning
TriggerOrder over $25,000
ActionNamed account executive, direct dial, AI takes notes
Quality

Nothing runs unsupervised

AI handles volume. People stay accountable for it. Our QA process is part of the service, not an upsell.

  • 100% of conversations transcribed, summarized, and searchable — yours to audit any time.
  • Human review of flagged interactions daily, and a scored sample of routine ones weekly.
  • Guardrails that stop the AI from guessing: if it isn't in your approved knowledge base, it hands off.
  • Continuous tuning — every misread call becomes a playbook fix the same week.

FAQ

Questions we get asked first

Will customers know they're talking to AI?

Yes, when it matters. We disclose according to your policy and the rules in your jurisdiction, and the AI never claims to be a specific human being. Callers can ask for a person at any point and get one.

Do we have to replace our phone system?

No. We forward from your existing numbers or sit as an overflow destination. Your numbers, your carrier, your caller ID.

Where are your human specialists based?

We staff US-based and nearshore teams. You choose the mix, and specialists are dedicated to your account rather than shared across a call pool.

What happens to our data?

It stays yours. Recordings, transcripts, and CRM records are exportable at any time, retention windows are set by you, and access is role-based and logged. We do not sell data or use your customers' conversations to train third-party models.

Can we start small?

Most clients do. A common starting point is after-hours calls or one follow-up campaign — then expanding once the numbers hold up.

What if the AI gets something wrong?

It hands off rather than guesses when a question falls outside the approved knowledge base. Flagged calls are reviewed by a human the same day, and the fix goes into the playbook that week.
